A new version of the official ONLYOFFICE connector for Liferay is already available. With the updated integration app, you can edit PDF files and create fillable PDF forms right within your Liferay platform. Read this article to find out more about these features and other improvements.

Open, edit and collaborate on PDF files

The latest version of the ONLYOFFICE connector for Liferay comes with the ability to edit PDF files allowing you to use the full range of tools and features provided by ONLYOFFICE PDF Editor:

  • Switching between Commenting and Editing modes;
  • Editing the existing text and adding new text boxes;
  • Inserting objects, like shapes, tables, images, hyperlinks and TextArt;
  • Adding, rotating and deleting PDF pages;
  • Leaving comments and text callouts;
  • Drawing on PDF pages.

To access all PDF editing features in your Liferay platform, you need to open a PDF file via the Edit with ONLYOFFICE option and click the Edit PDF button on the top toolbar because the Commenting mode is on by default. Alternatively, the Editing mode can be enabled in the upper right corner of the interface.

Create, edit and collaborate on PDF forms

Apart from regular PDF files, version 3.0.0 also allows Liferay users to work on fillable PDF forms. For example, they can create new forms from scratch and edit their contents by choosing from various field types, such as text boxes, drop-down lists, radio buttons, complex fields, images, signatures and more.

When you open a PDF form or create one, you will see the Forms tab with all available field types and other options.

To create a new PDF form in Liferay, click the New button in the Documents and Media section and select the Create with ONLYOFFICE option. After that, choose PDF form as the desired file type, enter a file name, add a description if you want and click Save. If done correctly, ONLYOFFICE Form Creator will open in the same tab.

Preview files available for viewing

Previously, the ONLYOFFICE connector for Liferay made it possible to preview only editable file formats, like DOCX, XLSX and PPTX. With the latest update, this feature has become more useful allowing you to preview files that are available for viewing.

To open a file preview, just click a file’s name in the Documents and Media section.

Please note that the preview feature works if you enable the corresponding option in the configuration of the ONLYOFFICE connector. Go to Control Panel -> Configuration -> System Settings. In the Platform section, choose the Connectors category and select ONLYOFFICE. Tick the Enable ONLYOFFICE Web Preview option and click Update. That’s it. Now you can preview any files including those available for viewing only.

Drop users from editing when cancelling a checkout

Another improvement in version 3.0.0 is the ability to discard any edits and drop Liferay users from editing a file if you click the Cancel checkout option. When you activate this option, the current editing session will be interrupted, and no changes will be saved. In this case, all users who are editing the file will be dropped from editing. This operation can be done by the file owner or Liferay admins.
